How to Ship Luggage Between Cities in China with SF Express

Travel lighter in China: how to arrange hotel-to-hotel luggage shipping with SF Express, book a pickup, check costs and prepare your suitcase.

Why use SF Express to ship luggage between cities in China?

A multi-city trip is easier when you do not have to carry a large suitcase through every station and hotel. SF Express can send luggage ahead, subject to acceptance of the contents, packaging and delivery route. For an international visitor, asking the hotel front desk to help arrange collection is a practical starting point.

This guide covers shipping between cities in mainland China. Deliveries involving Hong Kong, Macao, Taiwan or another country require separate checks.

The main benefits are:

  • Travel lighter: send your main suitcase ahead and take an overnight bag on the train.
  • Hotel-to-hotel convenience: arrange collection and delivery at hotels that have agreed to help.
  • Shipment tracking: keep the tracking number to follow delivery progress.
  • A choice of services: compare the options available for your route and travel dates.

Method 1: Ask your hotel to arrange collection

For travelers unfamiliar with local booking forms, this is the approach we recommend. Ask the front desk in advance whether they can help and whether they charge a handling fee.

Step 1: Prepare your luggage

Pack the items you will not need during transit. Keep your passport, money, valuables, essential medication and everyday electronics with you, along with a change of clothes.

Leave the suitcase accessible for the courier's inspection. Ask whether it needs a protective carton or other packaging before sealing it. Photograph the case and its contents.

Step 2: Speak to the front desk

Ideally, ask the evening before checkout so there is time to arrange collection. You can show staff this request:

Could you help me arrange an SF Express pickup to send this suitcase to my next hotel?

Confirm whether you must be present when the courier arrives, particularly for identity verification and inspection. Have your passport ready.

Step 3: Confirm the destination details

Contact your next hotel before booking. Ask whether it accepts luggage before check-in, how long it can store it and whether there is a fee.

Request the hotel's full delivery address, reception telephone number and preferred recipient details. Use the address supplied by the hotel rather than translating it yourself. Include your booking name and arrival date in the delivery instructions.

Step 4: Check the quote and pay

Ask for the total price, collection window and expected delivery date. Confirm any packaging and declared-value protection charges, plus the payment methods available for your booking.

Paying the shipping charge yourself avoids asking the receiving hotel to advance payment. Only select payment on delivery if that hotel has explicitly agreed.

Step 5: Save the tracking number

Keep the waybill or a screenshot of the booking and share the tracking number with the receiving hotel. Follow the shipment through SF's official tracking service. Once it shows as delivered, ask reception to confirm that it has your suitcase.

Method 2: Book through the SF Express app or WeChat mini program

If you are comfortable booking yourself, use SF Express's official app or WeChat mini program:

  1. Sign in and choose the option to send a parcel.
  2. Enter the collection address and the recipient details provided by your next hotel.
  3. Describe the contents accurately and enter the approximate weight and dimensions.
  4. Select an available service and collection time.
  5. Complete the required identity checks, then confirm the final charge with the courier.

SF's published privacy policy describes passport verification for its luggage-shipping feature. However, account registration and verification can differ between booking channels. If your overseas number or passport is not accepted by a particular form, ask the hotel or SF customer service for help rather than entering someone else's identity details. See SF's identity-verification information.

Method 3: Send luggage from an airport or train station

Airport and station services can help you head straight out after arrival or enjoy a final afternoon after checking out. First establish whether you need local airport-to-hotel delivery or shipping to another city: they are different bookings.

Airport services: four examples

  • Guangzhou Baiyun Airport: Published reporting describes SF's hotel-delivery and return-to-airport services, covering more than 150 partner hotels at the time, with bilingual booking guidance. Ask the counter whether your hotel is covered and agree on the collection point for your return journey. Service report
  • Kunming Changshui Airport: SF describes packing, storage, shipping and hotel-to-airport services. Its announcement lists counters in Domestic Area A on departure level F3 and Area A on arrival level B1. Check the current counter location before handing over your bag. SF's announcement
  • Chengdu Shuangliu Airport: A 2025 launch report described five service points across T1 and T2 and free delivery of the first bag for eligible travelers on eight business routes: Beijing, Shanghai, Guangzhou, Shenzhen, Urumqi, Lhasa, Hangzhou and Nanjing. The published allowance was 20 kg per bag, combined dimensions up to 200 cm and no side longer than 180 cm; additional bags cost extra. These were terms for a particular airport offer, not nationwide SF limits or a promise that the promotion is still available. Check your flight's eligibility before booking. Launch report
  • Sanya Phoenix Airport: The Sanya Tourism Board describes a service linking the airport, Sanya Railway Station and more than 105 partner hotels. Book at a service point on arrival or through a participating hotel before departure. Published local options include direct delivery in 1–3 hours, standard delivery in 4–8 hours and an economy option taking over eight hours. These are local services, not intercity shipping estimates. High-speed railway stations

Reporting from Yunnan identifies SF self-service shipping boxes and storage lockers at stations in cities including Kunming, Dali, Lijiang and Shangri-La. Storage lockers hold your belongings temporarily; shipping equipment is used to send a parcel. Neither guarantees space for a large suitcase. Yunnan service report

Check the compartment size, public access and whether staff assistance is needed. Self-service equipment does not mean the station or staffed counter is open around the clock. An item refused at airport or railway security is not automatically eligible for courier delivery.

What to do at the counter

  1. Explain whether the bag is going to a hotel, another city or an airport collection point.
  2. Have your passport, recipient details, telephone number, full address and travel dates ready.
  3. Let staff inspect the contents and confirm packaging, the total charge, delivery timing and any booking requirements.
  4. Save the waybill and collection instructions. Allow time to retrieve your bag before airline check-in.

Costs and how pricing works

Actual weight versus volumetric weight

SF charges using the higher of the packed bag's actual weight and its volumetric weight:

Length × width × height in centimeters ÷ the applicable divisor

For most mainland routes, SF lists 6,000 for its faster express product. Its standard product generally uses 12,000 below 30 kg, but some discounted versions use 6,000; at 30 kg or above, the usual divisor is 6,000. Route exceptions apply.

For a packed case measuring 80 × 50 × 30 cm and weighing 15 kg, a divisor of 6,000 produces 20 kg; a divisor of 12,000 produces 10 kg, so the actual 15 kg is higher. The same suitcase can therefore have a different chargeable weight depending on the service. SF's calculation rules

Reference prices for budgeting

The table below preserves a useful first-kilogram/additional-kilogram comparison. These are indicative figures from third-party guidance, not a current SF quote for your journey. Your route, service and final chargeable weight determine the actual price.

Delivery typeFirst 1 kg: indicative priceEach additional kgWhen to consider it
Standard interprovincial deliveryCNY 18–22CNY 6–8Send ahead and compare total prices
Faster interprovincial deliveryCNY 18–23About CNY 8Check availability when time is tight
Delivery within one provinceAbout CNY 15CNY 2–5Compare local standard and faster options

The provincial and interprovincial ranges appear in third-party pricing guidance. The faster-service row is a budgeting illustration, not a verified tariff.

A 20 kg worked example: if your quote is CNY 22 for the first kilogram and CNY 8 for each additional kilogram, and the chargeable weight is exactly 20 kg, the shipping charge is 22 + 19 × 8 = CNY 174. This is an illustration, not a live Beijing–Shanghai quote. Higher volumetric weight, packing and declared-value protection can increase the total.

Packing charges and ways to save

  • Check packing separately. SF's September 2025 price list includes small and large suitcase-packing options at CNY 18 and CNY 23. These are dated reference prices; confirm current availability, suitability and charges. Packing price list
  • Send ahead to give yourself more choice. Compare available services rather than assuming a fixed saving for slower delivery.
  • Compare separate and combined shipments. Combining bags may reduce first-kilogram charges but increase volumetric weight or packing costs.
  • Check official offers. Confirm that any app or mini-program discount applies to your booking.
  • Plan around the quoted date. Allow several days when planning a standard shipment, then check the actual route estimate. Next-day services may be available, but neither “24–48 hours” nor “2–3 days” is a nationwide guarantee. Carry overnight essentials and avoid a last-minute delivery before an international flight.

Restrictions and what to keep out of your shipment

Open your suitcase and work through the checklist below. Prohibited goods, items requiring separate approval and things you should keep with you are different categories. These notes concern mainland domestic shipping, not importing unaccompanied baggage from overseas.

Items to leave out of an ordinary luggage shipment

  • Lighters, matches and fuel: including lighter refills, gasoline and other flammable fuels.
  • Alcohol and flammable solvents: including rubbing alcohol and acetone. Do not pack nail products or other liquids marked as flammable as ordinary toiletries.
  • Compressed gas and aerosols: including pressurized spray cans and gas canisters. A small container is not automatically acceptable.
  • Fireworks, explosives and controlled weapons: these do not belong in a parcel of personal belongings.

China's postal regulator lists these categories in its prohibited-items guidance. Choosing ground transport does not make prohibited goods acceptable.

Everyday travel items that need separate attention

  • Battery-powered electronics: power banks, spare lithium batteries, laptops, tablets, phones, wireless earbuds, electric toothbrushes and digital scales. Keep everyday devices with you where practical. If you need to ship one, declare the model, battery details and quantity individually; do not list everything as “personal items.” Not every device is universally prohibited from domestic courier services.
  • Liquids and gels: shampoo, shower gel, hand wash and face cream need to be distinguished from perfume, alcohol-based disinfectants and pressurized sprays. If an ordinary non-hazardous liquid is accepted, use its original container, tighten the lid, add a separate leakproof bag and cushion it against impacts. Airline cabin-baggage limits of 100 ml are not a general domestic courier rule.
  • Magnetic items: declare speakers and similar equipment, including whether they contain a battery. Air-transport requirements may matter; “contains a magnet” is not a blanket domestic ban.
  • Tobacco and alcoholic drinks: do not conceal these among clothing. Tobacco has specific mailing restrictions; drinks need checks covering alcohol content, volume, quantity and protective packaging. Declare them separately rather than assuming they count as ordinary luggage.
  • Food, supplements and medicines: packaged cookies are different from fresh or chilled food, and tablets are different from liquid medicines. Do not put temperature-sensitive products in a standard suitcase shipment. Keep essential medicines with you; retain original packaging and any necessary documentation for other medicines. Food and medicines are not all universally banned from domestic delivery.

A practical packing approach: prioritize clothing, shoes and ordinary non-fragile belongings for the suitcase. Set special items aside for individual checking. SF's food, pharmaceutical and electronics services do not mean every item can be mixed into one standard luggage shipment.

Size and weight limits

  • Measure the packed item. Include wheels, handles and any outer carton. Give the length, width, height and weight rather than simply saying “a large suitcase.”
  • The 80 kg / 160 cm / 300 cm figures: a third-party luggage guide lists 80 kg per piece, a longest side of 160 cm and combined dimensions of 300 cm. We have not verified these as universal limits for current SF mainland services. For a heavy or oversized item, submit its measurements before booking and obtain confirmation of the product, acceptance limits and any surcharge.
  • Airport offers have separate allowances. The 20 kg and 200 cm combined-dimension limits in the Chengdu example belong to that particular service.
  • Send a complete description. For example: “One carton of clothing, packed size 80 × 50 × 30 cm, 15 kg, from my Shanghai hotel to my Beijing hotel.” This lets the courier assess the actual shipment.

How to pack your suitcase

  • Hard-shell cases: check the zip and fastenings, protect wheels, handles and corners, and ask about a suitable outer carton or suitcase-packing service.
  • Cardboard boxes: use a sound box suited to the weight, cushion empty space and avoid damp, damaged or bulging cartons.
  • Duffel bags, fabric bags and woven sacks: a thin bag offers little protection. Our recommendation is to use a suitable outer carton; acceptance of an unpacked bag depends on the contents and service, rather than a universal ban on all soft packaging.
  • Inspection before sealing: keep the bag accessible, then seal or lock it after the contents have been checked. Photograph the case, contents and packaging and save the waybill.

Keep with you: your passport, visa and travel documents, cash, jewelry, everyday electronics and essential medication. This avoids being separated from things you need during the trip; it is not a claim that every item on that list is legally prohibited from shipping.

Frequently asked

Can I ship luggage if I do not speak Chinese?

Ask your hotel's reception or concierge to help with the booking and courier communication. Confirm that assistance is available, especially at smaller properties. Keep your destination details ready to share; do not assume every courier or service point offers English-language support.

What if my suitcase is lost or damaged?

Ask about SF's declared-value protection before shipping and read the coverage conditions. It does not mean every claim automatically pays the full declared amount. Keep photos, proof of value and the waybill, and report a problem promptly through SF's official support channels. See SF's declared-value protection terms.

Can I send my suitcase to a hotel before I arrive?

Yes, if the hotel has agreed to receive and store it. Give reception your booking name, arrival date and tracking number. Ask about storage limits and fees before sending it.

Can I change the delivery address after shipping?

Contact SF as soon as your plans change. Ask whether rerouting is possible at the shipment's current stage and whether it adds cost or time. Do not assume an address change is free or can always be completed.

How will I know my luggage has arrived?

Check the tracking status, then confirm receipt with the hotel. A delivered scan alone does not tell you which member of staff is holding the bag. Have the tracking number ready when collecting it.

Practical tips before you send your bag

  1. Arrange collection early. Speak to your hotel before checkout day.
  2. Use the hotel's own address details. Include your reservation name and arrival date.
  3. Keep essentials with you. Pack for the time you will be without your suitcase.
  4. Take photos and save the waybill. Keep a record of the bag and booking.
  5. Choose a service that fits your itinerary. Compare the full quote and allow a delivery buffer.
  6. Check airport and station facilities first. Confirm that the location offers the service you need.

With collection, delivery and timing agreed in advance, sending luggage ahead can make a multi-city trip much easier.
